How to Configure Kantech Entrapass Web System

Overview
This article provides step-by-step instructions for configuring basic functions in Kantech's Entrapass Web system. AvanteTec recommends setting up components in the logical sequence outlined below to ensure proper system operation.
Recommended Configuration Sequence

Holidays - Used to override normal days on a schedule

Schedules - Used to define when operations can be executed or when actions are triggered

Access Levels - Used to determine when and where a card is valid

Cardholders - Used to define authorized users of the system
1. Define Holidays
Holidays override the access hours on schedules. There are slots to define 4 types of holidays, but typically only 2 types are used. We recommend the following paradigm:

Type 1 ("Holiday 1") - For days where office is closed (like Christmas Day)

Type 2 ("Holiday 2") - For days where office closes early (like Christmas Eve)
2. Define Schedules
Schedules tell the system when operations can or should be executed.
Common Uses for Schedules
- Automatically unlocking doors (these are applied in the "Operations" tab)
- Permitting employee access (these are applied in the "Access Level" tab)
Steps to Create a Schedule
- Click on the Schedule tab
- Select the component ('system' schedule or 'site' schedule)
- Select your site name from the dropdown box
- Click "+ Add"
- Name the schedule in the 'New Schedule' box (e.g., Work Hours)
- Select the times and days for the schedule to be active/valid
- Click "Save" when complete
Using Schedule Intervals
You can split schedules using intervals. Example for a door that's open Mon-Fri 8am-5pm but closed for lunch from 11am-12pm:
- Name the schedule "Workday Door Unlock Sched"
- Set two intervals:
- 1st interval: M-F 0800 - 1100
- 2nd interval: M-F 1200 - 1700
- Click "Save"
3. Define Access Levels
Access levels determine when a card can be used and on which doors.
Steps to Create an Access Level
- Click the "Access Level" tab
- Click the "+ Add" button
- Name the access level in the 'New access level' box
- Select a door
- Click the Schedule "Assign" button
- Repeat for all doors this access level should access
- Click "Save" when complete
Access Level Examples
Employees 1
- Front door access: Mon-Sat 7:30am-6:00pm
Accounting Dept
- Accounting Dept Door access: Mon-Sat 7:30am-6:00pm
- File Room access: Mon-Sat 7:30am-6:00pm
- Check Printing Room access: Mon-Sat 7:30am-6:00pm
Management 1
- Front door access: Mon-Sun 24 hours
- Back door access: Mon-Sun 24 hours
- Accounting Dept Door access: Mon-Sun 24 hours
Gym
- Gym door access: Mon-Fri 6:00am-8:00pm
- Exterior Entry door access: Mon-Fri 6:00am-8:00pm
Theater
- Theater door access: Mon-Fri 8:00am-6:00pm
A cardholder can have multiple access levels. For example, all employees get "Employees 1" access level, but if they sign the gym waiver, you would add "Gym" access level, or if they are in the accounting department you would add "Account Dept" access level.
4. Define Cardholders
Use cardholder to define a user's card details and access privileges.
Steps to Create a Cardholder
- Click the "Cardholder" tab
- Click "+ Add"
- Enter the user's Name and card number
- Set a card expiration date if needed (useful when an employee gives notice)
- Select an access level from the drop-down box
- To add additional access levels:
- Click "No additional access level - No door exceptions"
- Click "Add" under 'Additional access level'
- Select the additional access level
- To add door exceptions:
- Click "Add" under 'Door exceptions'
- Select a door, select a schedule, and choose "include" or "exclude"
- Click "Save" when complete
